CONSISTORY MEETING MINUTES - DRAFT

January 8, 2007

 

ATTENDANCE: Tina Allamon, Narda Druckenmiller, Carol English, Ann Graves, Brenda Hameister, Laura Homan, Chuck Hunt, Diane Ishler, Bernie Lindsay, Pat Long, Rick Miller, Lanny Owens, Margaret Pursell and Dave Yocum. ABSENT: Steve Mesko. Guest: Tammy Williams. Meeting called to order at 7:00, by Diane Ishler-President and she provided the opening. Pat Long made a motion to accept Lanny Owens appointment to fill Scott Buchart’s vacancy and Chuck Hunt seconded.

 MINUTES FROM PREVIOUS MEETING:

Tina Allamon presented the minutes from the last consistory meeting. The minutes were accepted by consensus and filed in the church office.

TREASURER'S REPORT:

Dave Yocum presented The Treasurer’s Report. Chuck Hunt made a motion to approve the treasurer’s report, seconded by Bernie Lindsay. Dave reviewed the fact

that St. John’s spent more money last month than they took in. Finance committee will revisit the budget quarterly, as per the Annual Congregational Meeting. Quarterly committee statements are sent out as well.

COMMITTEE REPORTS:

  • Christian Education – Oral Report – Low Sunday School attendance a concern. Winter Festival has been moved to the Sunday after Easter and the Easter Egg Hunt will be March 23 rd during Sunday School.
  • Church & Ministry – No Report – A request was made that Church & Ministry investigate the committee meeting time schedule that was set by Dave Fornicola and to work with Ann. Ann is concerned over being able to make all the necessary meetings.
  • Evangelism & Membership – Oral Report – Dianne Hatch has agreed to act as a PR person for St. Johns. This committee has the advertising budget, so please send all requests for ads to them.
  • Fellowship- Pat Long – No Report
  • Finance – Oral Report
  • Property – Oral Report
  • Stewardship & Mission – No Report
  • Worship & Music – Oral Report
  • Teen – None yet
  • All minutes were accepted by consensus and filed in the church office. Note: please see that your committee’s minutes are submitted in a timely manner so that consistory can review them.

PASTORS REPORT:

Ann provided a written report.

OLD BUSINESS:

  • Site Plan Update – The Thank You and Gift Certificate were sent out and work continues.
  • The Use of Church Facilities by a Fraternity – Tammy Williams came to answer questions about a fraternity’s use of our facility and presented an update on maintenance issues. The misunderstanding surrounding the fraternity’s service and why the church was unlocked was cleared up. Property Use Policy was discussed in regards to who and when the sound system can be used by outside guests. This is not addressed in our current policy. Property committee will look at this issue and bring back to consistory some suggestions.
  • Concerns were raised about damage occurring to the equipment. Property Committee also addressed: that they have 4 painting projects coming up and need volunteers, and that Miller Electric will have the stove fixed any day. The sign out front needs to be changed with SonSet Casual hours and the pastor’s name. Chuck Hunt made a motion to postpone voting on this expense until February’s meeting and a solution to having interchangeable slots could be obtained by then. Motion was seconded by Laura Homan and passed unanimously. Also, a severe bat problem was noted and that this time of year is when bat removal is handled and this could be a major expense. A motion was made by Pat Long to have the bat problem treated and to obtain the standard three bids, which was seconded by Narda Druckenmiller. Motion passed unanimously. Lanny Owens has agreed to join this committee.
  • Transition Plans –Much discussion based on Church and Ministry’s request for defining their role in this transition process. Laura Homan made a motion to have Church and Ministry work with Ann to develop a process to compile the church profile including holding small group meetings during the transition period which was seconded by Tina Allamon. Motion passed unanimously. Consistory will form the search committee and decided to table this until late spring.
  • Automatic credit/debit card – still in progress.

NEW BUSINESS:

  • Bernie Lindsay made a motion to have Rick Miller meet with Randolph Thomas to see the exact differences in the 1997 vs. 2003 versions of the church Constitution. Chuck Hunt seconded and the motion carried.
  • Bonton Fundraiser – Pat Long made a motion to sell coupon books put together by Bonton. Bernie Lindsay seconded and the motion passed unanimously. All monies raised from the sale will benefit St. John’s.
  • Resignation of Steve Mesko was accepted by consistory and a replacement will be sought.

St . John’s United Church of Christ Position Description

Director of Music Ministry

 

Purpose:

Responsible for direction of the church’s music ministry

 

Qualifications:

Musical background, Training in music (music degree preferred)

 

Responsibilities:

  1. Plan the music used in worship services, including
    • keyboard music
    • music for soloists
    • choral music
    • other music
    • special instrumentalists
  1. Develop worship themes with the Worship Planning Ministry . Coordinate music with the worship theme . Review new compositions for selection performance and library addition
  2. Responsible for scheduling the participation of choirs in worship, and scheduling the rehearsals of same .
  3. Call meeting of the music staff at least quarterly:
    1. Using the worship theme, plan music for each season and for special occasions
    2. Exchange ideas-develop feeling of fellowship with directors and musicians
    3. Encourage director’s and musicians attendance at workshops and other educational events
    4. Try to find ways to help make life easier for all the directors and volunteers as they serve in the music ministry

  1. Keep track of the activities of each music group as well as other groups, such as Summer Bible Day Camp, which could become part of the music and worship arts program and worship experience .
  2. Encourage the participation and involvement of children, youth, and adults in the music program and in worship- (recruitment) .
  3. In the area of music, serve as a resource person to provide worship ideas for both regular and special services, and for educational events and programs
  4. Communicate information about music in worship and education as deemed advisable (in weekly bulletin, newsletter, etc .) .
  5. Coordinate special music to be presented in worship services during choir vacation periods . (Special music will be presented each Sunday service where the Chancel Choir is not involved .)
  6. Attend continuing Education Workshops, professional meetings and credited courses as appropriate . (One annual event paid for by the congregation .)
  7. Attend church staff meetings .
  8. Serve as a non-voting member of the Worship and Music Committee

 Worship Team Participant

New Participants:

New worship team members must, (1) attend at least three practices, (2) undergo an informal audition of their talent with a qualified representative of the team, (3) be interviewed by a worship leader with respect to their personal goals and vision for this ministry .

Qualifications:

Vibrant faith in Jesus Christ and the behavior and attitudes that correspond with such faith

A heart seeking to serve God and His people

A heart that desires to express their adoration of God to others

Sensitivity to the needs, feelings and desires of the congregation and worship team participants

Ability to work in partnership with other team participants

The gift of music, represented by proven talent in vocal or instrumental ability

 

Responsibilities (or) expectations:

Attend church regularly and serve the congregation in music when scheduled

Pray for the congregation and for other worship team participants

Maintain your spiritual walk with God through regular Bible study/devotional reading

Keep current with your assigned worship team schedule and attend all related practices

Inform your worship leader of upcoming schedule conflicts

Dress appropriately for public worship (exhibit modesty and respect for others)

Continue to develop your musical ability through regular personal practice time

Help to resolve conflicts between worship team participants

Inform worship leaders of potential worship team participants

Provide suggestions to worship leaders to improve their effectiveness in serving you

Worship team coordinator

Qualifications:

A desire to serve the members of their worship team and help them succeed in ministry

Responsibilities:

Develop, cast, and communicate the vision of the worship ministry

Schedule worship leaders and staffing of worship teams

Pray for and provide spiritual shepherding of worship leaders and worship team participants

Resolve conflicts between worship team participants

Determine and implement worship ministry policy

Enlist, interview, and work with other leaders to assign new worship team participants

Administrate the sound and projection system

Administrate the song repertoire and new song circulation among the leaders
